Production Coordinator/Administrator (Fulltime)

As the production coordinator in this fast-paced creative design studio environment, you are in the centre of the team with a vision for excellence. Through managing the day-to-day administrative duties, you take the lead to ensure exceptional service with clients through a seamless process of communication and production details. You are collaborating closely with suppliers, clients and the art department. Key Responsibilities
Administration, Estimating, Project Coordination, Booking New Sales Appointments
•    Manage active jobs in a timely manner, includes regular contact with clients and coordinating with the art department on existing orders
•    Answer phones, Greet clients
Coordinate courier services and track deliveries between clients and vendors
•    Coordinate with Suppliers and prepare estimates for new projects
Provide written quotations, prepare sales orders for invoicing
•    Update project hours on a daily basis
•    Open a docket for new projects
•    Prepare purchase orders for suppliers
•    Preparing Emails and Maintain job filing systems
•    Receive payments from customers; process payables for bookkeeper
•    Enter new customer data and update changes to existing accounts in database
•    Maintain the office appearance and kitchen; coordinate with building management
•    Liaise with third party IT for network and basic troubleshooting issues
•    Arrange and maintain calendar for CEO with reminders and reschedule as needed
Competencies / Abilities
•    Ability to work independently in a professional manner while prioritizing multiple deadlines including managing new assignments and rush jobs to completion
•    Demonstrate strong interpersonal skills and client confidentiality
•    Proven track record in inside sales; commission paid on new projects
•    Proven track record in booking new sales appointments, excellent verbal, written, presentation skills
•    Command of the English language; proficient in mathematics, Spanish is an asset
Qualifications and Skills
•    3-7 years Administrative Management experience
•    University Degree in communications, marketing, advertising, media studies, business and / or related fields; customer service or office management
•    Experience in Print / Web job estimating; specific training provided
•    Proficient computer skills: Microsoft Office, including Word, Excel and PowerPoint
•    Able to prioritize work, meet deadlines, organize people and information
•    Attention to detail / motivated, friendly and approachable; proactive with a willingness to learn, enjoy working in a pet friendly office
